How to Write a Trade Quote That Wins Jobs(Free Template Included)

A quote is more than a price. It's your first official piece of communication with a new client — and it either builds confidence or erodes it. The tradies who win more jobs at the right price aren't necessarily the cheapest. They're the ones who send quotes that look professional, explain the scope clearly, and make the client feel like they're in safe hands.

What clients are really asking when they compare quotes: Can I trust this person? Do they understand what I need? Will the job be done properly? If something goes wrong, will they sort it out? A well-written quote answers all of these before they have to ask.

The Anatomy of a Winning Trade Quote

01Your Business Header

Every quote should start with your business identity, clearly displayed.

  • Business name and logo
  • Your full name (if you're a sole trader)
  • ABN
  • Licence number (where required by your trade)
  • Phone number, email, and website
In some states it's a legal requirement to display your licence number on quotes and invoices.
02Quote Details

Basic admin that makes your quote easy to reference and follow up.

  • Date issued
  • Valid until (typically 30 days — more on this below)
03Scope of Work

This is the most important section — and where most tradies either win or lose the job. Your scope should be specific enough that the client knows exactly what they're getting, and specific enough that you can hold the line if they try to add work later.

Always include an exclusions section. This protects you against scope creep and disputes later. Common exclusions: electrical work if you're a plumber, structural repairs found on removal, asbestos or hazardous material removal, council approvals.
04Pricing

Present pricing clearly. You don't need to itemise every nut and bolt — but a basic breakdown builds trust. For larger projects with multiple stages, break pricing into stages so clients can see where their money is going.

Never hide GST. Always show the GST-exclusive and GST-inclusive amounts. Adding GST at the end feels like a trick, even when it isn't.
05Payment Terms

Be explicit. Don't assume clients know your terms.

  • Do you require a deposit? How much and when?
  • When is the balance due? On completion or within 7 days of invoice?
  • What payment methods do you accept?
  • Are there any late payment fees?
06Your Qualifications and Guarantee

This is the section most tradies skip — and it's the one that often tips a close decision in your favour. Give the client a reason to choose you beyond price.

"All work carried out by a licensed electrician (Licence No. XXXX), fully insured with public liability cover of $20 million. We've been operating in [region] since [year]. All workmanship is guaranteed for 12 months from the date of completion."

This is especially powerful when quoting against cheaper, less established competitors.

07Acceptance and Signature

Make it easy to say yes. If you're using job management software, include a digital signature option — clients can approve on their phone without printing anything. If sending a PDF, tell them exactly how to accept.

Include a line confirming that acceptance constitutes agreement to your terms, and a link to your full T&Cs if you have them.

Common Quoting Mistakes to Avoid

Sending it too late
Quotes sent more than 48 hours after the site visit convert at a dramatically lower rate. Aim for same day.
Forgetting to follow up
Send a quote, then follow up in 2–3 days. One follow-up doubles most tradies' conversion rate.
No valid-until date
Without an expiry date, clients assume your price is locked in forever — then call you six months later expecting the same price. Set a 30-day validity on all quotes.
